Summary The position is at the full performance level located in the Health Administration Service at the Phoenix VA Medical Center (VAMC). Incumbent is under the supervision of the Mobility Manager. The incumbent receives work assignments and direction regarding work methods, procedures and schedules from the Chief or assistant chief of Health Information Management. The primary purpose of the work is to provide timely and accurate filing/scanning service to facilitate the work of the medical facility. Responsibilities The incumbent performs duties related to the receipt, intake, and indexing of health and administrative information. The incumbent will interface with personal computer (PC) applications, DSS programs as well as numerous VistA applications. In this regard, the incumbent will index each scanned document into a SQL database which will be accessed via CPRS (Computerized Patient Records System) GUI tools, associate each scanned document with the correct patient's CPRS record, the appropriate TIU document, assign the appropriate document-named nomenclature, and electronically sign on chart scanned documents. Incumbent will review and research numerous and voluminous medical reports from non-VA health care facilities making a determination as to which documents are to be scanned, and when necessary, obtain guidance from providers and/or CPRS Committee's guidelines. When records and reports are received, the incumbent will ensure that all necessary health/administrative information is integrated into VistA through PC scanning software. The incumbent must index this information using PCNistA application bridges. The incumbent will assist in training clinic staff in scanning key documents created on a concurrent basis (i.e.ER notes, advanced directives, consents, conscious sedation flow-sheets, etc.). Incumbent is required to assist in training staff members and assisting with tasks during job vacancies and employees' absences. Incumbent will take steps to resolve File Room issues such as lost records, urgent need for large record pulls for external reviewers and research purposes, and retrieval of old hard copy reports from multiple volumes of patients' records, etc. for patient care, research, and to comply with requests for medical information. The incumbent must be flexible in order to undertake a variety of miscellaneous administrative duties. Performs other related duties as assigned. General experience may be performing any administrative tasks and is define as "Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years education above High School. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school.
